Closing off banking from till in Bank Deposit Entry

Select the batch you would like to close off by clicking the drop down arrow to see the unupdated bank deposit batches. Batch types start with a letter for each different type of payment (see below)

 

A-Batches (EFTPOS/Cards):

These should be updated daily, or as frequently as possible

1.        Open each unupdated A batch

2.        Verify the total matches the settlement slip (which should in turn match the amount deposited in the bank)

3.        Click Update Batch, click No to print a bank deposit slip, and No to print a G/L Journal

4.        If prompted that receipts in the batch require posting, click yes and apply the payments to the appropriate invoices.

 

O-Batches (Vouchers/gift cards and Paypal/eWay):

These should be updated daily, or as frequently as possible

1.        Open each unupdated O batch

2.        Determine by looking at the transactions and the bank code the receipts are being deposited into, if the batch is for vouchers/gift cards or Paypal/eWay.

a)If for vouchers/gift cards, check you have the vouchers/gift cards, and the total value matches

b)If for Paypal/eWay, verify the transactions match your Paypal account or eWay records. At this point you can add negative entries to the batch to the G/L of your choosing to account for Paypal/eWay fees (or this can be done when performing bank reconciliation's).

4.        Click Update Batch, click No to print a bank deposit slip, and No to print a G/L Journal

5.        If prompted that receipts in the batch require posting, click yes and apply the payments to the appropriate invoices.

 

C-Batches:

These should be updated on days you wish to take your cash and cheques to the bank for depositing, and also prior to running end of month.

1.        Open each unupdated C batch

2.        Add in any additional cheques received via the post

3.        Click ‘Print Bank Deposit Slip’ and select screen

4.        Ensure you have all the cheques listed in the cheques section

5.        Re-count your cash and ensure it matches the ‘Total Cash’ on the report

6.        Adjust the batch as required, and go back to step 3.

7.        Print the Bank Deposit Slip

8.        Click Update Batch, click No to print a bank deposit slip, and No to print a G/L Journal

9.        If prompted that receipts in the batch require posting, click yes and apply the payments to the appropriate invoices.
