A quick stocktake can be initiated at any time by tapping the Quick Stocktake tab on the Main Menu of BBS Atom.

2.Users then select the stocktake type they wish to initiate by tapping the drop down arrow in the Stocktake Type field.

a.Manual - All products are scanned/searched for and added into the stocktake.

b.Bin Location - Only products in a specified bin location are scanned/searched for and added into the stocktake. (A maximum of 200 products can be selected).

c.Product Group - Only products in a specified product group are scanned/searched for and added into the stocktake. (A maximum of 200 products can be selected).

3.Select the warehouse you are counting the products in by tapping the drop down arrow in the Warehouse field. (Automatically populates with users default warehouse).

4.When initiating a Bin Location or Product Group quick stocktake, users will need to enter the bin location or select the product group by tapping the drop down arrow in the Bin/Product Group field.

5.When initiating a Bin Location or Product Group quick stocktake, the Product Filter will automatically populate with In Stock & Core Products Only, tapping the drop down arrow in the Product Filter field allows users to select a different product filter.

6.Users can then choose if they wish to override the bin location on all items counted by ticking the Override Bin Location tick box and entering a new bin location.

7.Users can then choose to Exclude Products with Committed Stock from the quick stocktake by ticking the Exclude Products with Committed Stock tick box.

PLEASE NOTE: Where products with committed stock are NOT being excluded from the quick stocktake, stock committed to sales orders that has not yet been invoiced (eg not yet picked, or part picked and not invoiced) MUST BE COUNTED in the stocktake. Any stock invoiced and not updated (ie 'stock on consignment') should NOT BE COUNTED in the stocktake.

8.When all of the required parameters have been selected users can create the stocktake by tapping the Start Stocktake button.

A manual quick stocktake starts with NO products added to the stocktake and users will need to search for the products to add to them to the stocktake. This can be done via the Search All Products field when manually searching or using an external barcode scanner, or by using the barcode icon to open the device's camera to scan barcodes, both of which are located at the bottom of the screen

A bin location or product group quick stocktake will load the products using the selected parameters. As with a manual stocktake, users can use the Search All Products field to manually search for products or scan products with an external barcode scanner, or use the barcode icon to open the device's camera to scan barcodes. If the search/scan returns a product that is already selected in the stocktake, users will be taken to the pop-up to enter the count automatically. If the search/scan returns a product that is NOT already selected in the stocktake, users will be asked if they wish to add the item to the current stocktake.

Tapping on the product will bring up the below screen allowing users to enter a count for the selected product, tapping the green tick will accept the count entered, tapping the red cross will reject the count entered and close the pop up.

Once a count has been entered and accepted for a product it will automatically move from the Not Counted section to the Counted section of the stocktake. Where users scan or search for a product that has already been counted in the current stocktake, the count screen will automatically pop up with the previous count for users to amend.

Amending a Count - Counts can be amended on products by searching for the product in the Counted section, tapping on the green count button which will bring up the count screen where users can amend the count.

Removing a Count - Counts can be removed from products by searching for the product in the Counted section and tapping the X beside the green count button. Users will need to confirm they wish to set this item to uncounted, after tapping Confirm the product will be moved from the Counted section back to the Uncounted section.

When all products have been added to the quick stocktake and have been counted, users can then update the stocktake. Please refer to Verifying and Updating a Quick Stocktake for more information.

After all products have been counted and/or added to the quick stocktake and users have tapped the Tick to update the quick stocktake, the below messages may be displayed.

Note: Items not counted (ie left in the not counted section) will NOT be zeroed out when the quick stocktake is updated, they will be ignored. If zero stock is found a count of 0 should be entered.

Prior to updating the quick stocktake BBS Atom will communicate with BBS Accounting to verify if there have been any stock movements since the quick stocktake was created and/or the products were added to the quick stocktake, if this is the case users will receive the below message.

Any products requiring the count to be verified will appear at the top of the counted section with the ***Verify Count*** notation. To confirm or change the count, users should tap the green counted number and amend if required and then tap the green tick again to accept the count.

Once all counts have been verified, users can then tap the Tick again to run the verification process again.

Once all checks have been verified, users will receive the below pop up confirming they wish to update the stocktake results.

After tapping Yes, users will be notified that the stocktake has been successfully completed.
