The following steps describe how to create a back to school booklist in BBS. The Back to School module will need to be activated for each user in BBS that requires the module. If you would like the module activated please contact support@bbsoftware.com.au. This process assumes that you are creating booklists in BBS and then you can use the booklists created to upload to the web.
Customer codes will need to have been set up in your system for each customer that requires booklists. The customer codes are created starting with BTS followed by a three digit number or up-to six letters eg (BTS001, BTSSHC).
BTS Customers should be set as:
•Credit Control = PAY ON PICKUP
•Terms = 0 – COD
Pricing is controlled on the booklists by the customer code – so if you have agreed pricing for products for the booklists, create them as contract prices on these accounts. If you have agreed pricing for multiple schools that are the same, create the contract prices on one school, and then use the Inherit contract pricing from option on the other schools so they all get the same pricing (eg. create the pricing on BTS001 and then set BTS002, BTS003 etc to inherit their pricing from BTS001 therefore price changes on BTS001 will flow through to any schools that have inherited pricing from BTS001).
The booklists are then created against the BTSxxx customer codes you have set up in your system via BTS Booklist Maintenance. This is where you create each booklist for each school and class – as shown in the example below:
Each product can have up to two ‘upgrade’ products, or an alternate like product (eg left handed vs right handed scissors).
Once you have added products to the booklist, you can use the green up/down arrows to move them up and down into the order that suits you the best.
Use the % students applicable for electives where only a % of the total students in that class will require those items.
If you would like to add a heading to the booklist for a section of items, use the product code M.
If you would like to add a sub-total for a section, use the product code M and type **TOTAL in the description.
After you have created a booklist for a class, you can create the next class and use the Import from Another Booklist option to copy it across and then just make the necessary changes, as shown below, copying year 8 to year 9.
If you would like to generate a printable booklist to distribute to students, templates will need to be set up in Microsoft Word. Please contact support@bbsoftware.com.au regarding the set up of templates and how to merge the items into the templates.
